1. Determine the requirements for taking photos and filming events
Before contacting a photographer or videographer, you need to clearly define:

Instagram:  Search and view photographers' profiles via hashtags, posts, videos...
Referrals from family and friends: Ask acquaintances about photographers and videographers they have experience with.
3. Contact and discuss content for event photography and filming
Once you have selected a few suitable photographers and videographers, you need to contact them to:
Ask about availability on your preferred date.
Discuss service packages:  job content; working time; additional services (photo editing, video editing, express file sending...).
Agree on price and additional fees (travel, printing, overtime...).
Negotiate a contract (for large projects or when you need guarantees) to ensure your rights.
4. Deposit and confirm event photography and filming schedule
Typically, you will be required to pay a deposit of 30-50% of the total cost to hold your reservation.
Reconfirm all important information (time and location of work, style of photography and filming).
Save the contact phone number of the photographer or videographer to exchange necessary information.
5. Prepare before the event photo shoot and filming
Double check the event schedule to ensure there are no unexpected changes.
If there are special requests or events that arise (time and location of work, need for additional photographers...), please notify the photographer or videographer as soon as possible.
Make sure the event space has the best lighting  or ask the photographer or videographer to bring flash/LED lights for filming if needed.
